Business Process Specialist | Closing date: 2018-01-31 Contact: Andrew Taylor |
Reporting to the Head of Procurement (interim line manager), the Business Process Specialist is responsible for the effective functioning of SKA business processes and associated tools.
Initially, the role will focus on developing the corporate Enterprise Resource Planning (ERP) system and associated business tools, but it is anticipated that the scope of the role will grow as business needs mature after creation of the Intergovernmental Organisation. | ▸ more | The Business Process Specialist will ensure that SKA core business processes are effective, business tools are fit for purpose and these tools are available to be used by internal stakeholders and end users in accordance with agreed internal service levels and key performance indicators.
The Business Process Specialist supports end users to ensure they are capable of exploiting the functional capabilities of business systems and associated business tools and acts as the SKA?s single point of contact with the ERP system provider for day to day operational systems administration and the coordination of fixes, enhancements and upgrades.
This is a fixed term contract for 12 months, with the possibility of extension.
Key Duties, Accountabilities and Responsibilities
- Work with key internal stakeholders to identify key process requirements.
- Define and develop business processes within the ERP system:
o Supporting development of workflows within the system.
o Assisting stakeholders to specify bespoke modifications to the system
o Security and control and of data between systems that interface with the external environment.
o Establishing effective and secure API and EDI links with external organizations
o Creation of bespoke reporting functionality.

- Identification of gaps in business requirements not properly supported by current processes and tools.
- Proposing, championing, developing and supporting new processes and tools to cover identified business gaps.
- Working with IT to ensure that backup and disaster recovery systems are tested, operable and effective.
- Establishing and maintaining good communication with end users including:
o Responding to user information requests and resolution of issues
o End user familiarization and training
o Attendance at internal meetings and representing SKA at external meetings with system providers
- Travel, as required, to any of the SKA countries and elsewhere as required.
- Undertake any other reasonable duties as directed by the post holder?s line manager or a member of SKA Organisation Senior Leadership Team.
Mandatory Qualifications, Experience and Knowledge:
Education and/or Experience
- Bachelor?s degree in business information systems or information technology related degree required.
- 3-5 years of accounting information systems and/or ERP system administration experience in cloud based solution required.
- Experience with relational databases, PCs, networking, and various operating systems including Windows and UNIX/Linux.
Required Knowledge
- General knowledge of business processes and controls.
- Understanding of finance/procurement/HR systems, operating systems, and applications, such as Word, Excel, and Access. Knowledge of systems: UNIX, LDAP, DOS, SAP Business By Design, UNIT4 World On
- Understanding and experience of the principles and practices behind lean agile organization management.
- Ability to interact and communicate with information technology auditors regarding system security, maintenance, and controls.
- Understanding of relational databases
- Good English oral and written communication skills.
Desirable Qualifications, Experience and Knowledge:
- Post-graduate qualification in management, engineering or physical sciences;
- Experience in large scale science infrastructure projects;
- Industry experience, and/or a track record in successful collaborative links with industry; and
- Familiarity with the formalism for, and requirements of, quality control environments such as ISO9001.
In addition, the role will be required to:
- Undertake training in the financial, occupational health and safety, and human resource management procedures applicable to the SKA or its partners.
