The EAS 2025 meeting will have a semi-hybrid component in which the Plenary sessions and all Symposia will be accessible via a virtual platform.

* Membership in EAS at the moment of registration. Kuoni will validate your EAS membership based on the membership listing on the EAS website. EAS Invidividual members and EAS members for which an EAS Affiliated Society has transmitted the member's data to the EAS Office before registration are considered as EAS members.
** Student fees apply only to undergraduate and PhD students. A scan of the student card or a letter from the University on headed paper confirming the participant's student status will ber required. Kuoni Tumlare Congress will validate your student status.

Virtual access

This year, the registration fee for virtual access is waived.

Virtual access does not include:
  • Electronic devices (computer, screen, headphones, etc) needed to attend the conference online

All sessions will be held in English. There is no simultaneous translation provided.

Registration fee waivers and/or Grants

The European Astronomical Society (EAS) provides a limited number of registration fee waivers and grants sponsored by our organisational members MERAC Foundation and Springer. They are open to all participants, EAS member or not, and from all over the planet. The fee waivers and/or grants are aimed at colleagues who, for whatever reason, will have difficulty to pay their fee. This can include non-funded or unemployed students or colleagues, or retirees, but also other astronomers, from all countries.

Application for registration fee waivers and/or grants is open until March 3, 2025.

Payment terms

Full prepayment is needed prior to the conference. The final invoice(s) will be sent after the conference at no charge,

Any cancellations or amendments are to be addressed to the Congress Secretariat in written form, at any stage prior to the event. eas2025@kuonitumlare.com.

Cancellation policy for registration

Fees will be refunded after the conference, according to the following policy for cancellations received:
  • Until 15 May 2025: 100% refund less bank charges (15 €).
  • From 16 May to 3 June 2025: An administration fee of 50 € will be charged, together with bank charges (15 €).
  • From 4 June 2025: No refund can be made.

Substitutions can be made at any time before the conference starts, by contacting the Congress Secretariat in written form. Organisers shall not be liable for refunds should visas not be obtained.

Should the onsite EAS 2025 Annual Meeting be cancelled by the organisers, participants with paid registration will be reimbursed.

Personal insurance

It is strongly recommended that onsite participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and loss of personal effects. The Congress Organizer will not accept liability for personal injuries or for loss or damage to property belonging to participants, either during or as a result of the programme.

Data protection

We inform you that your personal data will be added to the Kuoni congress' database for information related to EAS annual meetings. By filling in the registration form, you authorize Kuoni Tumlare and the European Astronomical Society to use your personal data for the mentioned purposes (see form). EAS (as organiser) has commissioned Kuoni Congress with registration, abstract handling, hotel booking and exhibition related tasks. Kuoni Congress is a serious congress services provider respecting your privacy and protecting the personal information that we handle. All personal data is processed in accordance with the applicable data protection laws, in the light of the new EU General Data Protection Regulation 2016/679 (GDPR). Liability

Kuoni shall act as a mediator only and cannot be held responsible for any loss incurred or any damage inflicted on persons or objects irrespective of whatsoever cause. Only written agreements shall be valid. The place of jurisdiction shall be Geneva.
