Registration

The Lausanne 2026 meeting will follow a semi-hybrid format. While all plenaries, symposia, special sessions, and lunch sessions will take place in person at the SwissTech Convention Center, plenary sessions and all symposia will also be accessible remotely via a virtual platform.

* Membership in EAS at the moment of registration. Kuoni will validate your EAS membership based on the membership listing on the EAS website. EAS Invidividual members and EAS members for which an EAS Affiliated Society has transmitted the member's data to the EAS Office before registration are considered as EAS members.
** Student fees apply only to undergraduate and PhD students. A scan of the student card or a letter from the University on headed paper confirming the participant's student status will ber required. Kuoni Tumlare Congress will validate your student status.

Onsite registration does not include:

Virtual access

This year, the registration fee for virtual access is waived.

Virtual access includes:

  • Watch the Plenary and Symposia sessions live, via an online platform
  • Access to the Plenary and Symposia sessions recordings after the conference
  • Access to the ePosters platform, prior and during the conference
  • Access to EAS 2026 dedicated Slack space
Virtual access does not include:
  • Electronic devices (computer, screen, headphones, etc) needed to attend the conference online
  • Special and lunch sessions will not be available on the virtual platform. This means that online participants will not be able to attend them remotely
  • Presentation rights (oral, ePoster, or ePoster short presentation). See abstract submission tab for the abstract display fee for participants not attending onsite and wishing to have their abstract included in the programme.

All sessions will be held in English. There is no simultaneous translation provided.

Registration fee waivers and/or Grants

The European Astronomical Society (EAS) provides a limited number of registration fee waivers and grants sponsored by our organisational members MERAC Foundation and Springer, and by a Scientific Exchange grant from the Swiss National Science Foundation. They are open to all participants, EAS member or not, and from all over the planet. The fee waivers and/or grants are aimed at colleagues who, for whatever reason, will have difficulty to pay their fee. This can include non-funded or unemployed students or colleagues, or retirees, but also other astronomers, from all countries.

Application for registration fee waivers and/or grants is open until March 3, 2026.

Payment terms

Full prepayment is needed prior to the conference. The final invoice(s) will be issued within a few days after payment has been received.

Cancellation policy for registration

Refunds will be processed after the conference in accordance with the following schedule:
  • Until 15 May 2026: 100% refund less bank charges (15 CHF)
  • From 16 May to 3 June 2026: Refund, less an administration fee of 50 CHF and bank charges (15 CHF)
  • From 4 June 2026: No refund

Substitutions can be made at any time before the conference starts, by contacting the Congress Secretariat. No refunds will be granted in the event that a visa is not obtained.

Personal insurance

Participants are strongly advised to arrange appropriate insurance coverage (including registration fees, travel, medical expenses, and personal belongings). The Congress Organizer accepts no liability for personal injury, loss, or damage to property.

Data protection

Personal data collected during registration will be processed by Kuoni Tumlare Congress on behalf of the European Astronomical Society (EAS) for the purposes of congress organization and administration. All data is handled in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).
