All sessions will be held in English. There is no simultaneous translation provided.

Grants

The European Astronomical Society (EAS) provides a limited number of EAS/Springer Grants to attend the EWASS conference. They are restricted to applicants who are already EAS members the year preceding EWASS. They are dedicated to students and postdocs who have a contributed or invited talk.

Grant requests are accepted from the opening of the registration (4 December 2018) to the deadline for Abstract Submission (3 March 2019). The candidates will be informed on the status (granted or not) of their funding request before the end of the Early Bird registration deadline.

Payment terms

Full prepayment is needed prior to the conference. An invoice will be sent upon request only (ewass2019 @ kuoni.com) after the conference at no charge.

Cancellation policy

All cancellations and changes are to be addressed to the Congress Secretariat in written form at any stage prior to or during the event. E-mail: ewass2019 @ kuoni.com

Fees will be refunded after the conference (EUR), according to the following policy for cancellations received:

• before May 1^st, 2019: 100% refund less bank charges.
• from May 1^st to June 5^th, 2019: An administration fee of 50 € will be charged.
• after June 5^th, 2019 : No refund can be made.

Substitutions can be made at any time before the conference starts, by contacting the Congress Secretariat in written form. Organisers shall not be liable for refunds should visas not be obtained.

Personal insurance

It is strongly recommended that participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and loss of personal effects. The Congress Organizer will not accept liability for personal injuries or for loss or damage to property belonging to participants, either during or as a result of the programme.

Data protection

We inform you that your personal data will be added to the Kuoni Congress' database for information related to EWASS conferences. By filling in the registration form, you authorize Kuoni Congress and the European Astronomical Society to use your personal data for the mentioned purposes (see form). EAS (as organiser of the EWASS) has commissioned Kuoni Congress with registration, abstract handling, hotel booking and exhibition related tasks. Kuoni Congress is serious congress services provider respecting your privacy and protecting the personal information that we handle. All personal data is processed in accordance with the applicable data protection laws, in the light of the new EU General Data Protection Regulation 2016/679 (GDPR). Liability

Kuoni shall act as a mediator only and cannot be held responsible for any loss incurred or any damage inflicted on persons or objects irrespective of whatsoever cause. Only written agreements shall be valid. The place of jurisdiction shall be Geneva.
