* EAS Future Member fees apply if you have recently applied or if you wish to become a member of the EAS. This is a commitment for several years and the 36 £ (equivalent to 40 €) difference (18 £ for PhD students, i.e. Junior Members) in registration fees will cover your 2018 membership fees. Future members should read carefully the EAS Constitution and Bye-laws. Please read the benefits of becoming an EAS member and submit your application. Should your membership application not be submitted before the conference, you will be considered as a non-member and full fees will apply.
** Student fees apply only to undergraduate and PhD students. A scan of the student card or a letter from the University on headed paper confirming the participant's student status should be sent to ewass2018 @ kuoni.com

Take advantage of the very early bird fee before 22 December 2017. On-site desk registration will be limited.

Registration fees include:

Admission to all sessions (4 days, except for 'one-day' registration)
All lunches & Coffee breaks (4 days, except for 'one-day' registration)
Welcome reception (nominal contribution required to confirm attendance)
Congress documents

Registration fees do not include:

Conference Dinner
Accommodation
Touristic excursion
Travel expenses
Personal insurance

All sessions will be held in English. There is no simultaneous translation provided.

Grants

The European Astronomical Society (EAS) provides a limited number of EAS/Springer Grants to attend the EWASS conference. They are restricted to applicants who are already EAS members the year preceding EWASS (by Oct. 31st). They are dedicated to students and postdocs who have a contributed or invited talk.

Grant requests are accepted from the opening of the registration (September 15^th) to the deadline for Abstract Submission (November 27^th). The candidates will be informed on the status (granted or not) of their funding request before the end of the Early Bird registration deadline.

Payment terms

Full prepayment is needed prior to the conference. An invoice will be sent upon request only (ewass2018 @ kuoni.com) after the conference at no charge.

Cancellation policy

All cancellations and changes are to be addressed to the Congress Secretariat in written form at any stage prior to or during the event. E-mail: ewass2018 @ kuoni.com

Fees will be refunded after the conference (GBP), according to the following policy:

Until January 8^th, 2018: 100% refund less bank charges.
January 9^th, 2018 to March 15^th, 2018: An administration fee of GBP 50.- will be charged.
From March 16^th, 2018 : No refund can be made.

Substitutions can be made at any time before the conference starts, by contacting the Congress Secretariat in written form. Organisers shall not be liable for refunds should visas not be obtained.

Personal insurance

It is strongly recommended that participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and loss of personal effects. The Congress Organizer will not accept liability for personal injuries or for loss or damage to property belonging to participants, either during or as a result of the programme.

Data protection

Under the Data Protection Act 15/99, we inform you that your personal data will be added to the Organisation's database for information related to EWASS conferences. By filling in the application form, you authorize the Organisation and Kuoni to use your personal data for the mentioned purposes. To exercise your right to access to, rectification and cancellation of this information, contact the Congress Secretariat.

Liability

Kuoni shall act as a mediator only and cannot be held responsible for any loss incurred or any damage inflicted on persons or objects irrespective of whatsoever cause. Only written agreements shall be valid. The place of jurisdiction shall be Geneva.
