MEETING FORMAT
▸
Is EAS 2022 in person or virtual this year?
The EAS Annual Meeting will be a hybrid event taking place in-person at the Valencia Conference Centre in Spain, with a limited component of the overall meeting being available on a virtual platform. After two Annual Meetings in virtual format, the organisers would like to promote the opportunity, once again, to meet people in person, interact with colleagues face-to-face and facilitate networking.
▸
Will sessions be live on a virtual platform?
The plenary sessions will be available on a virtual platform, whether live or recorded. Symposia, special sessions, and lunch sessions will not be available for remote viewing. Only a few components of the meeting will be made available online (plenary sessions & ePosters), but not the full meeting. More details under the Registration section.
▸
Is there a way to access the symposia, special sessions and lunch sessions online?
Unfortunately, no. Only the plenary sessions will be available for remote viewing.
▸
What if I cannot attend the in-person conference, will there be an option to attend virtually?
If you are unable to attend, you may choose to participate virtually and register as an online participant. However, please note that only a few components of the meeting will be made available on a virtual platform (not the full meeting). Please check on the Registration section what is included in the online registration.
Also, invited and contributed talks at all sessions (plenary, symposium, special, lunch) will be given in presence in Valencia. Therefore, onsite registration is mandatory if you aim to give a talk at EAS 2022. In exceptional cases (visa issues, health issues) remote talks may be given if participants really cannot travel to Valencia. Approval on a case-by-case basis by the EAS annual meeting board will be required. Requests may be sent to eas2022 @ kuonitumlare.com. Even if approved, onsite registration fees still apply.
▸
Why is the EAS Annual Meeting not virtual this year?
The decision to have a strong physical component to EAS 2022 has been well thought through and discussed at length by the EAS annual meeting board and EAS Council. After two Annual Meetings in virtual format where all have learned to appreciate the online meeting possibilities, we are looking forward to holding this Annual Meeting in person in Valencia. We look forward to enjoying, once again, the opportunity to meet people in person, interact with colleagues face-to-face and facilitate networking. This reflects also the output of the poll of previous participants in which a majority favoured a physical meeting. The programmatic, technical, and financial costs of having a good video and audio system for a completely hybrid solution at EAS 2022, with about 13 sessions in parallel, would have resulted in a substantial increase of the registration fee, negatively affecting the accessibility of the meeting for all participants.
Should you have financial difficulties to travel to Valencia, please feel free to request a fee waiver and grants for travel/hotel, before March 1st. More information in the Fee waivers/grants section.
REGISTRATION
▸
I am planning to register as an online participant. Is it possible to submit abstracts for a Contributed Talk?
Unfortunately, no. Abstracts for contributed talks are only accepted for on-site participants. However, abstracts for ePosters can be submitted by online participants. For more information please visit the abstract submission section.
▸
What are the differences between Onsite Registration and Online Registration?
"Online" participants will not be able to follow symposia, special sessions and lunch sessions remotely (but only the plenary sessions). Only "on-site" participants have the ability to give invited and contributed talks at symposia, special sessions and lunch sessions. To find out what is included in each registration type, please have a look at the registration section.
▸
I am an online registrant. How do I participate remotely in the EAS 2022?
Online participants will be given access to a virtual platform where they will be able to view live or recorded plenary sessions, access the ePosters and the dedicated Slack channel. You will have the possibility to push your questions live (in writing) to the plenary speakers. Kindly note that it will not be possible to follow symposia, special and lunch sessions remotely, or give a talk in those sessions.

PRESENTATION
▸
How do I submit my oral presentation?
Speakers need to bring their presentation on a USB key at the "Speaker preview" room, at the conference venue, the day before your presentation, or at least 2 hours before your session starts. Technical requirements will be communicated in due time.
No personal laptop will be allowed to be plugged in the session room, and no USB memory stick will be allowed to be plugged on the laptops at disposal on the session rooms.
▸
What should I do if I am unable to speak?
If you are unable to give your presentation, please contact us as soon as possible to rearrange or cancel your presentation slot. If you decide to be replaced by one of your co-authors, please send an email with the complete name of that person to eas2022 @ kuonitumlare.com. (The co-author must be registered.)
▸
I am a speaker. Will I be provided a laptop for my presentation?
A laptop will be available in each session room and will be linked to the "Speaker preview room" drive. Your presentation will already be available on the laptop when it will be your turn to present. Speakers need to give their presentation in advance (on a USB key) at the "Speaker preview" room.
No personal laptop will be allowed to be plugged in the session room, and no USB key will be allowed to be plugged on the laptops at disposal on the session rooms.
▸
Can I change my oral presentation to an ePoster presentation?
You may request to convert an oral presentation to an ePoster, however, we kindly ask you to inform the SOC of your assigned session(s) and the Secretariat as soon as possible via email at eas2022 @ kuonitumlare.com, to substitute your talk and accommodate the session schedule.
▸
What is an ePoster?
At EAS 2022, only ePosters will be available. Eposters are a digital version of the traditional poster. Instead of being printed, these posters can be displayed on devices such as touch screens, tablets, and laptops. Users have a completely different experience this way since the content is more engaging and adapted to their specific needs. The advantages of a traditional poster are combined with the advantages of electronic devices to create an ePoster.
The ePosters will be gathered on an online ePoster platform, available from your own devices but also on large displays onsite. Both onsite and online participants will have access to ePosters. ePosters will also be made accessible online prior to the conference, allowing participants to see them in advance.
▸
Can I present my talk remotely?
Invited and contributed talks at all sessions (plenary, symposium, special, lunch) will be given in presence in Valencia.
▸
Will speaker presentations be available after the event?
The presentations will not be available after the conference, however any conference participant who wishes to request them may email the speakers. It is up to the speaker to make them accessible.
Recordings of the plenaries will be made available on the EAS YouTube channel some time after the conference.
SOCIAL EVENTS
▸
Are social events free for registrants to attend?
All social events are free of charge, except the Conference dinner. The Welcome reception is offered to any participant registered (onsite) to the meeting. The Student event is also free of charge, but only open to PhD students registered to EAS 2022. At the time of registration, please sign up to events that you are interested in. If you change your mind after having registered, please contact eas2022 @ kuonitumlare.com.
▸
I have special dietary needs. How do I indicate this?
Participants with dietary needs based on religious restrictions, food allergies or intolerance, are requested to indicate needs at the time of registration. Please note that your needs will be accommodated depending on availability.
▸
What is the Welcome Reception?
The Welcome Reception is the conference's first social event, where you may meet up with colleagues in an informal atmosphere with a drink. The event is free for those who have registered to the conference. At the time of registration, please sign up to this event if you are interested in. If you change your mind after having registered, please contact us.
▸
Who can join the Student Event?
This event is organised for undergraduate and graduate students attending the EAS Annual meeting, to allow them to network and share ideas. A nice venue will be privatised, and a drink offered.
▸
What to expect from the Conference Dinner?
This is an excellent chance to enjoy delicious food in a relaxed setting while getting to know each other and making new connections outside the main conference environment.
The most emblematic and representative venue that Valencia offers has been reserved for you. You will first enjoy a welcome drink on the terrace, then will taste the fantastic Spanish gastronomy inside. It will be a 3-course menu, including wine and soft drinks (seated dinner, on round tables).
▸
How do I buy a Conference Dinner ticket?
Conference dinner tickets are available for purchase during the registration process. If you have already registered for EAS 2022 and would like to register for the conference dinner, please contact us. Note that the ticket price for the conference dinner was kept low for EAS 2022 registered attendees to welcome as many participants as possible, thanks to a significant financial support by the EAS towards the ticket price.
▸
Is transportation included to social event venues?
No, transportation is not organised by the EAS. The Valencia public transports are well developed and will allow you to reach the student event or the conference dinner easily by bus or metro, directly from the conference venue or from the city centre. More details will be provided to participants in due time, but you can also have a look at Metro Valencia webpage.
