Invited and contributed talks at all sessions (plenary, symposium, special, lunch) will be given in presence in Valencia. Therefore, onsite registration is mandatory if you aim to give a talk at EAS 2022. In exceptional cases (visa issues, health issues) remote talks may be given if participants really cannot travel to Valencia. Approval on a case-by-case basis by the EAS annual meeting board will be required. Requests may be sent to eas2022 @ kuonitumlare.com. Even if approved, onsite registration fees still apply.

Online registration fees include:

• Access to the plenary sessions, live or recorded, on a virtual platform

• Access to all accepted abstracts

Online registration fees do not include:

• Electronic devices (computer, screen, headphones, etc) needed to attend the conference online
• Symposia and Special/Lunch sessions will not be available on the virtual platform. It means that online participants will not be able to follow symposia, special and lunch sessions remotely

All sessions will be held in English. There is no simultaneous translation provided.

Grants

The European Astronomical Society (EAS) provides a limited number of registration fee waivers and grants sponsored by our organisational member Springer and by the Society itself. They are open to all participants, EAS member or not, and from all over the planet. The fee waivers and/or grants are aimed at colleagues who, for whatever reason, will have difficulty to pay their fee. This can include non-funded or unemployed students or colleagues, or retirees, but also other astronomers, from all countries.

Requests for fee waivers and/or grants are now closed.

Payment terms

Full prepayment is needed prior to the conference. The final invoice(s) will be sent after the conference at no charge,

Amendment policy

As we understand the uncertainty during these unprecedented times, we offer our participants the flexibility of changing their registration from online to on-site or vice versa.

Cancellation policy

All cancellations are to be addressed to the Congress Secretariat in written form at any stage prior to or during the event. E-mail: eas2022 @ kuonitumlare.com.

Fees will be refunded after the conference, according to the following policy for cancellations received:

• Until May 15th, 2022: 100% refund less bank charges (15 €).
• from May 16th to June 3rd, 2022: An administration fee of 50 € will be charged, together with bank charges (15 €).
• from June 4th, 2022 : No refund can be made.

Substitutions can be made at any time before the conference starts, by contacting the Congress Secretariat in written form. Organisers shall not be liable for refunds should visas not be obtained.

Should the onsite EAS 2022 Annual Meeting be cancelled by the organisers, any participants with paid registration will be reimbursed.

Personal insurance

It is strongly recommended that participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and loss of personal effects. The Congress Organizer will not accept liability for personal injuries or for loss or damage to property belonging to participants, either during or as a result of the programme.

Data protection

We inform you that your personal data will be added to the Kuoni congress' database for information related to EAS annual meetings. By filling in the registration form, you authorize Kuoni Tumlare and the European Astronomical Society to use your personal data for the mentioned purposes (see form). EAS (as organiser) has commissioned Kuoni Congress with registration, abstract handling, hotel booking and exhibition related tasks. Kuoni Congress is a serious congress services provider respecting your privacy and protecting the personal information that we handle. All personal data is processed in accordance with the applicable data protection laws, in the light of the new EU General Data Protection Regulation 2016/679 (GDPR). Liability

Kuoni shall act as a mediator only and cannot be held responsible for any loss incurred or any damage inflicted on persons or objects irrespective of whatsoever cause. Only written agreements shall be valid. The place of jurisdiction shall be Geneva.
